What a good clinic growth agency should do in the first 90 days

Hiring a growth agency is a big decision for a clinic. This is what the first 90 days should look like: an honest audit, working tracking, a focused landing page and offer, careful ad launches, proper CRM follow-up and a reporting rhythm you can hold them to.

Choosing a growth agency is a significant commitment for a clinic. You are trusting someone with your budget, your brand and, indirectly, your patients' first impression of you. Most clinic owners know what they want at the end (more of the right enquiries turning into booked consultations) but find it hard to judge what should happen along the way. This guide sets out what a good agency should do in the first 90 days, so you know what to ask for and what to question, whoever you choose.

Days 1 to 14: an honest audit

A good agency does not start by launching ads. It starts by understanding where you are. Expect them to review:

  • Your treatments and margins. Which services do you want more of, which have capacity and which are actually profitable once clinician time is counted?
  • Current lead sources. Where do enquiries come from today: Google, social, referrals, walk-ins? What does the data show, and where is there no data at all?
  • Your website and booking path. How many steps does it take a new patient to enquire or book on a phone?
  • What happens after an enquiry. Who replies, how quickly, from where, and how many enquiries become consultations?
  • Past advertising. What has been tried, what it cost and why it was stopped.
  • Compliance constraints. Which treatments carry advertising restrictions and which claims need to be checked. In the UK, the CAP Code and ASA guidance are the reference points.

The output should be a short written summary with priorities, not a 60-page deck. If the audit finds that your follow-up is the biggest problem, a good agency will say so, even though fixing it is less glamorous than running ads.

Days 7 to 30: tracking that you can trust

Without tracking, every later decision is guesswork. In the first month the agency should make sure you can answer one question for any enquiry: where did it come from, and what happened to it?

That usually means:

  • Analytics and ad platform tracking installed and tested on your site, with consent handled properly.
  • Conversions defined around real outcomes: form submitted, call, WhatsApp click, booking made.
  • Every lead recorded in a CRM with its source, an owner and a stage such as new, contacted, booked or attended.
  • Ad accounts, pixels and analytics owned by the clinic, with the agency given access.

Ask to see a test lead travel through the whole system before any budget is spent.

Days 14 to 45: a focused offer and landing page

Sending paid traffic to your home page rarely works well. A good agency will build a landing page for each priority treatment or offer, written for one type of patient and one next step.

A strong clinic landing page usually has a clear headline about the outcome or concern, plain information about the treatment and who it suits, the practitioner's credentials, what a consultation involves, price guidance where appropriate and one obvious way to enquire or book. It should load quickly on a phone.

The offer matters as much as the page. "Book a consultation" is a weak offer if every competitor says the same. Work with the agency on something specific and honest, such as a consultation that includes a skin assessment and a written plan, without discounting your way into the wrong patients.

Days 30 to 60: careful ad launches

Only once tracking, the page and the follow-up process are ready should campaigns go live. Expect a deliberate start rather than a big bang:

  • One or two priority treatments, not your whole menu.
  • A clear split between search campaigns (people already looking) and social campaigns (people you are introducing to the idea).
  • A small set of creative angles to test, with a plan for what will be judged and when.
  • Budgets set to gather enough data to learn, with an agreed point to review.

Be cautious of an agency that promises a specific cost per lead or number of patients before they have seen your data. Honest agencies talk in ranges and tests.

Days 1 to 90: CRM follow-up that actually happens

The best ads in the world are wasted if enquiries wait hours for a reply. A good agency treats follow-up as part of the job, not as your problem. In the first 90 days they should help you set up:

  • Instant alerts to the right person when a lead arrives.
  • Reply templates for each campaign, written in the same voice as the ads.
  • A follow-up sequence for leads who do not respond at first.
  • Clear outcomes on every lead, so you can see where enquiries are lost.

This is where marketing and operations meet, and it is why Medzelo's clinic growth work combines treatment campaigns and clinic landing pages with a booking follow-up system rather than handing over leads and walking away.

Throughout: a reporting rhythm you can hold them to

Agree the rhythm in week one. A sensible pattern is:

  1. Weekly: a short update covering spend, leads, time to first contact, bookings and what changed.
  2. Monthly: a review of cost per booked and per attended appointment by treatment, what was learned and the plan for next month.
  3. At 90 days: an honest look at what worked, what did not and whether to scale, adjust or stop.

Reports should go beyond clicks and leads. The numbers that matter to a clinic are consultations booked, consultations attended and treatments that followed.

Questions to ask before you sign

  • What will you need from us in the first two weeks?
  • Who owns the ad accounts, tracking and landing pages?
  • How will you know whether our follow-up is working?
  • What will the weekly report contain?
  • What happens at 90 days if results are not where we hoped?

A good agency will welcome these questions. Pricing should be clear before work starts: Medzelo Growth Services, for example, publishes starting prices on its pricing page and confirms scope and the final price with you first.

Frequently asked questions

How long before a clinic sees results from a growth agency?

It depends on your starting point, budget, location and treatments, so be wary of anyone who guarantees a number. A reasonable expectation is that the first month is spent on audit, tracking and building, with ads live in the second month and enough data to make informed decisions by the third.

Should the agency or the clinic own the ad accounts?

The clinic should own its ad accounts, pixels, analytics properties and domains, and grant the agency access. That way your data and history stay with you if you change agency.

What should a clinic agency report on each week?

Spend, leads, cost per lead, how quickly leads were contacted, how many booked, how many attended and cost per booked appointment, plus what was changed that week and what will be tested next. Reports that stop at clicks and leads are not enough.

Do we need new software to work with a growth agency?

Not necessarily, but you do need somewhere every lead is recorded with an owner and a stage, so the agency can see what happens after the enquiry. If your current setup cannot show that, fixing it should be part of the first 90 days.
